8Learn what it takes to print labels in sheets of two or !
three across using Appleworks.
=So you have an Appleworks database full of names, addresses, ?
=phone numbers, and other meaningful information and you want 9
7to produce labels in sheets of two or three (2x or 3x) =
;across. Sounds easy enough, but in reality the EASIEST way >
<to do this is to purchase DB Master (Version 5 or Pro) from =
;Stone Edge Technologies, Inc. or TimeOut ReportWriter from <
:Beagle Brothers. Before we start encouraging you to spend :
8more money, let's see how difficult this is to do with
AppleWorks.
AND AWAY WE GO
:In order to produce multiple labels across a single sheet /
using AppleWorks you must follow these steps:
;1. Load your existing database, press Open Apple(OA)-P and 9
7create a New _Tables" format report that contains just :
8the information you would like on the label. Delete all 6
4the other fields that are of no use to you for this :
8application and be sure to delete all extra lines below
the last field used.
;In essence, you'll be making the number of fields equal to ?
=the number of lines to be printed. If you want the labels to =
;be sorted in any particular way, now is the time to do it. ;
9You will not be able to sort the file that will actually
print the labels.
:2. Print this report to an ASCII file on disk. Be sure to 5
3remember the file's name and where you place it -- +
you're going to need it in the next step.
;3. Press OA-Q, then ESC: this is the quick way to the main :
8menu from any place within Appleworks, except for a few 6
4TimeOut Applications. Now start a new database file 8
6from an ASCII TEXT file. When asked for the number of 7
5categories, enter the number of fields in the report :
8saved in Step 2, times the number of labels across. For 9
7example, if in Step 2 you saved an ASCII file with six :
8fields and you want 3x labels, you need to enter 18 for 7
5the number of categories. For 2x labels, you need to
enter 12 categories.
: Appleworks will request the filename of the file you 4
2wish to use to make the database. As you may have 9
7guessed, you enter the name of the file you created in #
Step 2 (full path and filename).
:4. After the ASCII file loads, you will be presented with 7
5the standard un-zoomed database view with each field :
8labeled CATEGORY 1, CATEGORY 2,...,CATEGORY N. In order 9
7to make things easier press OA-N and rename the fields %
to something a bit more meaningful.
: Although it isn't necessary, renaming them will help 7
5make sense when you go to the record layout section. 8
6For this example, let's rename the fields to F.NAME1, 3
1L.NAME1, ADDRESS1, CITY1, STATE1, ZIP1, F.NAME2,
L.NAME.2, and so on.
;5. Press OA-P and select Create a New _Labels" Format. Use 4
2the standard OA-arrow, OA-J commands to align and :
8justify the fields into a two or three label format. Be :
8sure to leave enough blank lines below the last printed 6
4line so that Appleworks indicates _Each Record will 8
6Print 6 Lines". Press OA-O, then _PH" to suppress the 6
4printing of page headers. If your printer is loaded :
8with label sheets press OA-P to start printing. If not '
start loading -- we are almost there!
9 Use this first printout to make sure the fields are 4
2lined up with the labels. If not, go back to your /
-report format and make the necessary spacing
corrections.
=6. Press OA-P, sit back, and watch Appleworks print out your !
labels just as you wanted them.
EXAMPLES THAT WORK
:Please have a look at MULTI.LABL (the original database), >
<MULTI.LABL.TEMP (the ASCII text file), MULTI.LABL.PRT, (the >
<database that prints the 2x labels) and MULTI.LABL.AW (this 5
file in AW format) in this subdirectory (/SDA93/A).
=Experiment with these files -- the easiest way to learn this :
8type of operation is to do it a few times. This file is :
8provided for reference from within AppleWorks while you &
construct your MultiLabels database.
ALTERNATIVES TO THE MADNESS
8As mentioned above, two of the best alternatives are DB :
8Master (Version 5 - $179.00 or Pro $295.00) and TimeOut 6
4ReportWriter ($79.95). TO ReportWriter works within 8
6Appleworks and can give you the tools of a relational ?
=database with just a few keypresses. DB Master, on the other ;
9hand, is a full featured relational database application ?
=whose only rivals are in the IBM and Mac world. In fact most <
:of its rivals, on any computer, fall short of DB Master's
capabilities.
:While DB Master is an Apple II Database user's dream come ;
9true, ReportWriter could be just the tool the frustrated :
8AppleWorks user is looking for. If you feel the pain of ?
=Appleworks' limits more than once a day, do yourself a favor %
and look into these fine products.
